Booking Terms and Conditions
Appointment Scheduling:
All appointments with Virtual Vitality Nutrition must be scheduled at least 24 hours in advance through our designated booking system.
At the time of booking, you will be sent our intake form, which covers your relevant personal, medical and lifestyle history. Failure to fill in the intake form prior to your consult may result in a less comprehensive understanding of your individual health profile, potentially limiting the effectiveness of the consultation and the ability to provide personalised dietary recommendations.
As we are a telehealth-based service, clients are responsible for ensuring they have the necessary technology and a secure internet connection to receive video calls.
Late Arrivals, Non-Attendance and Cancellation Policy:
We strive to maintain punctuality to ensure each client receives their allocated time. If you arrive late for your appointment, your session may be shortened, and the full fee will still apply.
After 5 minutes, if you have not connected to the telehealth call, your dietitian will follow-up by phone call. If by 15 minutes, you have not connected the call, it will be treated as non-attendance and the session will be forfeited.
We understand that unforeseen circumstances may arise. If you need to cancel or reschedule your appointment, please provide at least 24 hours notice.
Cancellations made within 24 hours of the scheduled appointment will be subject to a cancellation fee of 50% of the consult fee.
Payment Terms:
Payment for programs is either in full prior to the commencement of the program, or in 3 monthly installments (installments vary based on package).
We accept various payment methods, including credit/debit cards and electronic funds transfer.
Private Health Insurance Coverage and Reimbursement:
Clients are responsible for checking with their insurance providers regarding coverage for dietetics services and any relevant gap payments.
After your appointment, Virtual Vitality Nutrition will provide you with a receipt via email for you to submit to your health fund for reimbursement.
Medicare reimbursements are only available with a completed Chronic Disease Management or Eating Disorder Treatment Plan referral.
Privacy and Confidentiality:
All client information shared during appointments will be kept strictly confidential in accordance with privacy laws and regulations.
Virtual Vitality Nutrition reserves the right to share information with other healthcare professionals involved in your care with your explicit consent.
Refund Policy:
Refunds will be considered on a case-by-case basis and may be subject to administrative fees.
No refunds will be issued for services already provided.
Changes to Terms and Conditions:
Virtual Vitality Nutrition reserves the right to update or modify these terms and conditions at any time. Clients will be notified of any changes.
